Please note:
You need to have Microsoft .NET Framework 2.0 on your computer for Debt Collection Manager to work.
To save your data for future use, you need to download this database file and keep it in the same folder as the program.
Entering Accounts
When you first open the program, you must always enter a new company or select a company from the list at the top right of the form.
Next, you may enter a new customer, or select one from the list in the customer box.
Once you have selected a customer, click Select. The customers information will be loaded in the CustomerInfo tab below. Here, you may edit the information and click Update at the bottom right. You may also view the customers balance, and balance outstanding 30, 60, and 90 days on this screen.
Viewing Payments
By clicking on the View Payments tab, you can see all payments made by the
customer. You may edit payment information, but you will not enter new payments
on this screen. Please note you must have applied for and been approved by a compatible credit card processor. We have API setup with the following compatible credit card processing companies: Crescent, High Risk Pay, Advantage Processors
Viewing/Editing/Entering Invoices
By clicking on the Invoices tab, you may view all invoices for a particular
customer. You may also edit this information. To view and print an invoice,
highlight the desired invoice and click View/Edit. From this screen, you may
print the form. Click update when finished. To enter a new invoice, highlight a
blank row in the table, and click View/Edit. To accept payment for an invoice,
highlight the invoice in the table and click pay. This will open the payment
screen and mark the invoice as paid.
Call Log
The Call Log tab tracks all calls made to this customer. To enter a new call,
click on an empty row, and enter the desired information.
Action Required
The Action Required tab is independent of the customer selected. This tab shows
all customers with an account 30, 60, or 90 days past due. When you open the
program, any new past due accounts are automatically added. You may also
manually enter an action for an account.
Items
The Items tab lists all stock items for use in the Invoices tab. You may edit or
enter new items in the table.
- Note: Any of the tables in this program may be sorted by any column by clicking on the column name you wish to sort by.
- Note: When making any changes or adding information for a customer, click Update when finished to apply the changes to all tabs.
